Fields Required When Importing Data


You can import CSV files into your KashFlow account. See this page for more info.

We've kept our import process as flexible as possible. You don't need to have certain fields in certain columns.
When you go through the import process, you will be asked to "map" fields from our list of field names, to the headings you have in your CSV (spreadsheet) file. You can then save those mappings so yo don't have to go through the same process every time.

You don't have to have headings for each of your columns for it to work, but we highly recommend you do as it'll make the process much easier for you.
You can provide as much information as you like. There are only a few fields that are essential for the process to work.

The required and optional fields for each of the import types are detailed below.

Importing Bank Transactions
Required:
Money In and/or Money Out amount OR Value
Transaction Date


Optional:
Bank Account ID ( the code for the account that the transaction is for)
VAT Rate
VAT Amount
Comment
Transaction Type


Notes
If you assign a column to the "Value" field then anything assigned to "Money In" or "Money Out" will be ignored. If the figure entered for value is a postive numbere then it'll be assumed to be money in. A negative value is assumed to be money out.

Importing Customer Records
Required:
Customer Name
Customer Code
or Customer ID

Optional:
Virtually every other field on the Edit Customer page

Notes
You can select either a Customer ID or a customer code.If both are selected then the ID takes precedence.

Importing Invoices
Required:
Customer Code or ID (the customer must already exist)
Invoice Number
Invoice Date
Due Date


Optional:
Customer Reference
Line qty
Line Description
Line Charge Type
(ie, the product or service code)
Line Rate
Line Vat Amount
Line VAT Rate


Notes:
If you have multiple lines on an invoice, just include multiple lines on your CSV file with the same invoice number.

Importing Invoice Payments
Required:

Paid Account (the number for the bank account that receives the payment)

Importing Supplier Records

Notes:
Although the import refers to the fields as “Invoice” fields (IE, Invoice Number), it is in fact referring to the Receipt. It’s because technically this is a “Purchase Invoice”.

If you have multiple lines on a receipt, just include multiple lines on your CSV file with the same receipt number

Notes:
You can (in fact you must) have multiple lines in a journal import. Just use the same journal number on each line.

To represent a debit, just enter a negative amount.

The journal must balance. IE, the sum of the Line Amounts must equal zero
