2nd July, 2008We’ve had a lot of people ask for the ability to have invoices and other emailed items automatically BCC’d to an address of their choice. So we’ve now added this option.
Go to Settings -> Email Options to turn it on or off.
If it’s enabled you will also receive copies of all purchase orders, packing slips, reminder letters, receipts and remittance advice.
Historic Sales and Expenditure Report
1st July, 2008We’ve just added a new report that will provide you with a spreadsheet showing all your sales and expenditure for a given period on a month by month basis. It can be used as a basis for forecasting future cashflow.
The report can be found in Reports -> General Reports
Customers and Supplier VAT numbers
30th June, 2008We now automatically check that the VAT number you have entered for your suppliers and customers is real, valid number and that it has been registered with the European Commission.
The text will turn green if the number is valid.
Save and Email Reminder Letters
29th June, 2008When an invoice is overdue, you will see a new button appear on the invoice page saying "Reminder Letters".
We've just upgraded the reminder letters by adding 2 new features. Firstly, you can now save any changes you make to the text. Secondly, you can now send the reminder letter by email (instead of just printing it)
Updates to PayPal Importer
28th June, 2008You now have the option to choose which source newly created customers should be assigned to. You can also choose to include the country name.
To get to these settings, just go to Settings -> PayPal Imports and click Edit next to your PayPal profile.
Archiving Suppliers
26th June, 2008A couple of weeks ago we added the ability to archive customers. You can now do the same with Suppliers.
At the bottom of the supplier page is a "Archive" tick-box. If you tick this box then the supplier will no longer show in the drop-down lists.
Improved PayPal Accounting
22nd June, 2008We have upgraded our PayPal Import service. As well as payments made and received, it now also picks up on items classified as "PayPal Services" (usually delivery) and any purchases you make with a PayPal debit card.
Importing vCards
21st June, 2008You can now import new customer information from vCard (.vcf) files.
Click the "Customers" tab and then click the "Import vCard" button
Add New Supplier from Create Receipt Page
20th June, 2008If you are recording a new purchase and realize you haven’t yet added the supplier, this can now be done with one click rather than having to navigate to the “Add Supplier” page.
Simply click the “Add New” link next to the supplier selection drop-down.
Let KashFlow Work out the VAT for you
20th June, 2008When adding a new item to an invoice or a quote, you can enter the amount inclusive of VAT and the system will reverse-calculate the net and VAT amount.
Removing the Total from a Quote/Estimate
19th June, 2008A few customers have told us that they use the Estimates/Quotes to list a number of options for their potential customers. In this scenario it isn’t appropriate to include a total at the bottom of the quote.
We’ve added a new option so that you can remove the total. When viewing the quote, just below the total is a tick box to remove it from the printed version.
Attachments with Purchase Orders
19th June, 2008Last week we added the ability to email Purchase Orders. But we overlooked the ability to send additional attachments as you can with Estimates and invoices. This has now been added
Text Substitutions
19th June, 2008A few people have said they’ve like the ability to use automatic text (like the relevant invoice number or amount) in the Additional Text field on Invoices and Estimates.
This is now available. Below the Additional Text box in Settings -> Invoice Options -> Display Options is a linkt hat will tell you the available codes.
Transferring Transactons
18th June, 2008Previously if you entered a transaction in a bank account and later realized it was the wrong account, you would have to delete it and re-enter it in the correct account.
You can now just edit the transaction and change it to the correct account.
Purchase Orders
14th June, 2008You can now print or email the details of recorded purchases so as to produce a purchase order for your suppliers.
To enable this feature, just go to Settings -> Purchase Order Options and tick the box.
Quotes/Estimates to Jobs/Projects
14th June, 2008We've found out that a number of our users create projects (or 'Jobs' or whatever you have renamed them to) once one of their customers have given the go-ahead on a quote (or 'estimate' or whatever you may have renamed them to).
To make this a lot easier we've added a new feature. When you are viewing a quote that isn't assigned to a project, a link will show up next to the project selection box saying 'add new'. If you click this link then you'll be able to create a new project and the details from the quote (customer, value, reference, etc) will automatically be entered into the appropriate boxes.
Once the project is created the quote will be assigned to it.
If you haven't already activated projects then you can do so by going to Settings -> Project Options. Quotes are enabled in Settings -> Quote Options.
Contact Name on Invoices
12th June, 2008A number of our customers have asked for the ability to include the Customer Contact Name at the top of the invoice, along with the Company Name.
We’ve just added this as an option. Go to Settings -> Invoice Options -> Display Options to activate this option.
Skype Your Customers
10th June, 2008If you regularly use Skype then you can now call your customers from within KashFlow at a click of a button.
You first need to create a custom field to be used on your customer records. To do this, go to any customer and click the link that says “Definer Custom Fields”. Create a new text field and call it “Skye ID”, “Skype Name” – anything with the word Skype in it. Save your custom fields
Now whenever you view a customer record you will be able to enter the Skype name for your customers in this box. If you view a customer page with a Skype name entered then you’ll be able to click the Skype image shown to place a call.
Improved Bank Reconciliation
8th June, 2008We’ve improved the bank reconciliation page to help you deal with older transactions.
If any transactions prior to the start date of your statement haven’t yet been marked as reconciled (ie, ticked) then they’ll be flagged up above the main list of transactions.
We know some of you may not have reconciled the first few months of your bank account (don’t worry, we wont tell your accountant) and you wouldn’t want a huge list of unreconciled transactions to deal with. So, you can set what date you started reconciling from and only transactions after this date will be flagged.
To set this date, click the Edit Details button next to the account under the Bank tab.
Removed "Rate" from invoices when you remove "Qty"
7th June, 2008If you chose to remove the Qty field from your invoices, then the rate field still showed. The column is irrelevant as it will always show the same amount as the sub total for that line. So we’ve removed it.
Sales Types and Products
6th June, 2008If you sold lots of different products or services then you had to list each one in the "Products/Services" area. This was fine until it came to analysis or giving your data to an accountant. At this point you wouldn’t be bothered about the individual product lines – just the type.
So now, where you used to enter Products and Services, you now list your Sales Types. Then, below each Sales Type you can list your individual products.
You still have all the same stock control and auto-fill options.
Automatic Names on Emails
2nd June, 2008When you are saving text for emails, you can now use #name# or #company#. These will automatically be replaced with the name of the contact for the customer and the company name
Aesthetic Changes
31st May, 2008We’ve refreshed the look of some of the internal pages. List should now be presented in a way that’s much nicer than they were previously.
Categories for Quotes
22nd May, 2008You can now create categories for your quotes, and assign a relevant icon to that category.
So you might want a category called “Declined” with a red flag or a cross, and then other categories for “Pending” or “Accepted”. It’s very flexible – you can have as many categories as you like.
To start creating your categories just log into your account and click the “Quotes” tab (or whatever you may have renamed it to) and then click the “Categories” button at the top of the page.
More custom fields for customer records
19th May, 2008We’ve massively increased the number of custom fields you can have for a customer from 4 to 40.
To define these fields just go to a customer record and click “Define Custom Fields” (or “Need more fields?” if you already have some set up)
Because there are so many more of them, they now display in their own section of the Customer page called “Other Information”
PayPal Import now process Purchases and Suppliers
12th May, 2008Our PayPal Import service has now been upgraded. So as well as automatically accounting for you Sales and customers, it now also manages your purchases and suppliers.
To configure the settings, just go to Settings -> PayPal Imports and create or edit a PayPal profile.
New PayPal Importer
28th April, 2008We’ve just released a great new add-on that replaces the PP:Konnect program for importing from PayPal.
The new PayPal importer service is much more automated, works on PCs or Macs and also deals with bank transfers for you.
To get started, go to Settings -> PayPal Imports
Archiving Customers
24th April, 2008There is now an “Archive” tickbox at the bottom of the customer page. If you tick this box then the customer will no longer appear in drop-down lists.
This is useful if you have a number of customers that you are not likely to deal with again.
Rename Qty Field
17th April, 2008There have been a lot of requests for the ability to rename the “Qty” field on invoices – usually to “Hours”.
You can now rename this to anything you like. Just go to Settings - > Invoice Options -> Display Options.
You can also rename the word "Price" on the invoices to read "Rate"
Prevent Duplicate Receipts
16th April, 2008Some customers have said it’d make their life easier if the system didn’t allow you to enter a purchase that has the same Suppliers Reference number as a previous purchase from that supplier.
Essentially, this should stop you accidentally entering the same purchase twice.
You can now enable this option by going to Settings -> Advanced Settings
Managing Bank Transactions
8th April, 2008We’ve just added some new functionality that should be of great use to most of our customers.
When you are viewing transactions on a bank account, all transactions entered directly in the bank area (as opposed to transactions resulting from a payment made/received) will have a tick box next to them.
You can select as many of the transactions as you like. At the bottom of the page is a drop-down list that says “Select an Action”.
You can choose “Delete” – this will delete all of the chosen transactions, saving you have to delete them individually.
You can choose to assign the payments to invoices/purchases. This is especially handy if you’ve just imported a bank statement. The system will try to automatically match up payments to invoices/purchase based on the amounts. But you can override the allocation made by the system.
This will then allocate the selected payments to the appropriate invoice/receipt.
You can also choose to allocate an individual payment when viewing it on the Edit Bank Transaction page.
Calculating Interest on Overdue invoices
8th April, 2008KashFlow will now automatically calculate the amount of interest you can charge on an overdue invoice in accordance with the relevant legislation.
When you’re viewing an overdue invoice, the information will appear just below the “Status” information. It also tells you how much the interest will increase by each day that the invoice remains overdue.
Growing Text Boxes
7th April, 2008We’ve updated the pages from which you email invoices, statements and quotes to your customers.
Whilst the text box for the email message was big enough for most of our customers, some of you wanted more space.
To keep everyone happy we’ve used a bit of wizadry to make the text box grow as you type into it. So if you are typing and get towards the end of the text box, it will grow in length so that you can carry on typing but still see all of your message.
Exporting to Digita
4th April, 2008We now have a report to enable you to export your data in a format compatible with the Digita range of products.
It can be found in Reports -> General Reports -> Digita Export
Monthly Sales Report
3rd April, 2008We’ve just added a new report called a “Monthly Sales Report”
You provide two dates, you’ll then be given a spreadsheet giving you a breakdown for each month between the two dates.
For each month it’ll show you how many of each product you sold as well as the total value.
To view this report, go to Reports -> Income Reports and select the Monthly Sales Report.
HSBC Factoring Report
31st March, 2008If you use HSBC for Invoice Factoring you can now generate the required files from within KashFlow.
Log in to your account, click “Reports” and select HSBC Factoring from the Income Reports area.
Renaming Packing Slips
30th March, 2008You can now rename Packing Slips to anything you like. This ties in with the ability to also rename Invoices, Quotes and Projects.
Importing Data
20th March, 2008You can now import data into your KashFlow account from CSV files or from eBIs XML files.
Go to Settings and choose “Import Data”
Attaching files to emailed Quotes/Estimates
19th March, 2008When you send a quote/estimate by email, you can now include additional attachments.
Searching for receipts
18th March, 2008We've just added the ability to search for receipts. Click the "Purchases" tab and enter either your own KF receipt number or the suppliers reference (usually their invoice number) into the box provided.
VAT Number on Suppliers Record
17th March, 2008There is now a new box on the suppliers page for you to record your suppliers VAT number.
PayPal Buttons on Invoices
17th March, 2008We have updated the PayPal buttons on invoices to be in-line wiht the latest PayPal logos.
To view/edit this setting, go to Settings -> Invoice Options -> Payments & Discounts
Payment By Method Report
13th March, 2008We’ve just updated this report. It was pointed out to us that it’s all well and good that it shows you how much income you’ve received by cheque, card, etc. But it’d be infinitely more useful if it actually showed you the actual payments that make up these amounts.
So now when you download the CSV file generated by this report it’ll contain a list of all the relevant payments.
Remittance Advice and Payment Receipts
11th March, 2008We’ve had lots of people requesting the ability to print Remittance Advice for their suppliers and Payment Receipts for their customers.
So we’ve added it.
Next to the payments on your purchases and invoices you’ll see two icons. One to print the advice/receipt and one to email it.
Year End Process
11th March, 2008At the end of your financial year, there is a process that needs to be completed.
This process "moves" all of your profit and loss from the year that is ending into a separate area of your accounts. Whilst you can do it manually, it's a laborious process.
So we've put together a report that takes care of it all for you.
Simply go to Reports -> General Reports and select the Year End Process. Now you just need to follow the on-screen instructions.
Project Sort Order
11th March, 2008When you have “projects” enabled, you can assign income and expenditure to different projects to calculate the profitability of different projects or parts of your business.
You select the relevant project from a drop-down list when adding a sale, purchase or bank transaction.
The list has always been order by project number. You can now choose to order this list by various other criteria.
This option is accessed in Settings -> Project Settings
Journal Templates
10th March, 2008You can now save Journals as templates. This will save you lots of time if you are regularly entering similar journal entries.
First, you’ll need to enable the journal (Settings -< Advanced Settings)
Now, when you are creating a journal you’ll have the option to use a template.
To create templates simply tick the box at the bottom of the page when viewing/editing an existing journal.
Multi-line receipts are now easier
7th March, 2008We’ve added a little option to make it quicker and easier to add additional items (perhaps at a different tax rate) to you receipts (purchase invoices).
Simply tick the box at the bottom of the page when you are creating a receipt. When you click the “Add Receipt” button you’ll be taken straight to the page to add another item to it.
New Report: Income by Payment Method
6th March, 2008You can now analyse your income based on payment method. So you can see how much of your income was by wire transfer, cheque, credit card, etc.
To get to this report simply go to Reports -> Income Reports
Quicker Data Entry
4th March, 2008Some people want to use the keyboard as much as possible and the mouse as little as possible. To aid this we’ve added a new feature to the various drop-down lists. You can now type in the name of the option you want and it’ll be automatically selected.
Codes in drop-down lists
3rd March, 2008To keep things simple for the non accountants, the drop-down list of products, outgoing types, etc only show the name of the code – not the related code number.
We’ve just added a feature for those of you that want the codes to show. Just go to Settings -> Advanced Settings and tick the box to “Show codes in drop-down lists”
Monthly Turnover & Profit Report
23rd February, 2008Monthly Income as CSV
19th February, 2008One of our most popular reports is the Monthly Income report. This shows you your total income on a month-by-month basis.
Previously this was just shown as a graph. You can now download the data in CSV format to open as a spreadhseet.
Deleting Data
16th February, 2008What people tend to do is enter test data so they can get a feel of the system. To make your life easier you can now delete all of that data from one page (rather than delete each item individually).
This is accessed by going to the "Settings" tab and choosing "Delete Data"
Renaming Invoices
15th February, 2008Some of our international customers have been asking for the ability to rename invoices. This can now be done.

Favourite Reports
13th February, 2008We have lots of reports available, it’s unlikely that you’ll regularly use all of them. So to help you get to the reports you do use as quickly as possible we’ve now added a “Favourites” section under the Reports tab.
You can choose which reports are listed here so you can easily get to the ones you use regularly.
Improved "Overdue" emails.
10th February, 2008We've improved the emails that you recieve when your sales and purchase become overdue.
They now contain links directly to the overdue items and also include a total of the overdue amount.
Sorting Quotes/Estimates
6th February, 2008We've added extra sorting options to the Quotes/Estimates page. We've added the option to order by date and you can also sort either descending or ascending on all options. Just click the column heading.
Email sent Icon for Invoices
23rd January, 2008When viewing a list of Invoices, you can now easily see if they’ve been sent by email yet. An icon will show on the left of the page indicating that it has been sent.
Flat Rate Scheme
11th January, 2008Until today, we’ve only partially supported the Flat Rate Scheme for VAT. This is now fully supported and the VAT report will give you ALL the information you need to complete a VAT return using the FRS. If you have no idea what this is then you don’t need to worry about it!
VAT Liability on Overview Page
11th January, 2008If you’ve ever completed a VAT return and be taken by surprise by how much you owe, you’ll like our latest addition. KashFlow can now keep you up-to-date with your increasing VAT liability every time you log in. Just click through to the VAT report to set this up.
Quotes Total
10th January, 2008The Quotes/Estimates page now shows the total value of the Quotes/Estimates at the bottom of the page.
Bank Debit\Credit Columns
7th January, 2008On our bank screens we’d always had the debit and credit columns the opposite way around to most bank statements. Understandably this was causing some annoyance. This has now been corrected
VAT Warnings
10th December, 2007If you are not VAT registered, the Overview page will now warn you if you are approaching the threshold for compulsory VAT registration.
Changing Invoice numbers
26th November, 2007You can now change an invoice number if you accidentally enter it incorrectly.
Taking Card Payments
15th November, 2007You can now take credit card payments from within KashFlow.
Simply log in to your account and go to Settings -> Card Options.
If you don' t yet have a merchant account and/or a processing account with one of our partners, you can register for one there.We highly recommend you use the link to Secure Hosting.Their service is very affordable but most importantly their customer service levels are exceptional.
Once you have an account you simply enter your details on the Card Options page.
Now, when you are viewing an unpaid invoice you'll see an additional button to take a card payment. Clicking on it will take you to a payment form with the customer details and payment amount pre-filled.
Enter the card details – take the payment and the invoice will be marked as paid.
Profit & Loss Report for Projects
25th October, 2007You can now run a P&L report that just takes into account items added to your various projects.
Just go to the Projects section and select a project, the available reports are at the bottom of the page. If you’ve not yet enable projects you just need to go to Setting -> Project Options.
Recording Purchases from other EC States
17th October, 2007We’ve added guidance to the “New Receipt” page to assist you in recording purchases from other EC member states.
This is only applicable if you are VAT registered and have ticked the box on the suppliers page to say they are in another EC member state.
Configuring Fixed Assets, Expenditure, etc
15th October, 2007Most users don’t want to set up Fixed Asset codes, etc. So these settings have been tucked away inside the Balance Sheet and P&L reports. However, if you do want to easily set codes as Fixed Assets you can now go to Settings -> Advanced Options and enable the option to ‘Configure Nominal Codes’.
With this setting enabled, you will see a new set of options on the ‘Edit Product/Service’, ‘Edit Outgoing Type’ and ‘Edit Bank Transaction Type’ pages.
Activity Report for Projects
14th October, 2007We’ve added an Activity Report to the Projects section so you can see a list of all transactions for a given project. To view the report, select an existing project from under the ‘Projects’ tab. The link to the report is below the buttons to view invoices and receipts.
Bank Transactions and Projects
11th October, 2007If you have Projects enabled (Settings -> Project Options) you can now allocate bank transactions to specific projects. This is in addition to the sales and purchase you can already allocate.
Projects and Budgeting
24th September, 2007We have now added the ability to group invoices and purchases together to track the profitability of projects or the accuracy of predicted budgets. The section can be renamed from projects to anything you like to make it as flexible as possible. So you could call it “Budgets” or “Jobs”
To use this new feature, go to Settings -> Project Options and enable projects. A new tab will appear between the Reports and Help tab.
Default VAT rate
22nd September, 2007As we are now seeing a lot of new customers from outside the UK, the default VAT rate of 17.5% is no longer practical for all of our users.If you go to Settings -> Invoice Options -> Tax Options you can set the default VAT rate to the appropriate rate for your region.
Import Sales and Customer data direct from PayPal
20th September, 2007Today we've released a program called PP:Konnect. This enables you to easily import data from PayPal into your KashFlow account, saving you from having to manually enter the details. See http://api.kashflow.co.uk/downloads/PPKonnect for more information
Auto-include VAT Number
10th September, 2007For some EU countries, it's required that you include the customers VAT number on invoices. We've added a tick box to the customer details page so that you can choose to have the VAT number automatically added to invoices for these customers.
Option to create a Quote after creating a customer
10th September, 2007A while ago we introduced the option to be taken to the "Create Invoice" screen as soon as you have entered a new customer.
We've now also added the option to go straight to the "Create Quote" screen too.
Whatever option you choose will be remembered for the next time you create a customer.
Multiline Receipts
1st September, 2007The Purchases/Receipts area has been upgraded to bring it inline with the Invoices section.
You can now add multiple items to a receipt and each item can have it’s own VAT rate (if applicable to you) and outgoing type.
Please note that you now have to enter the NET amount (before tax) not the Gross amount (after Tax) if you are VAT registered. Again, this is consistent with the Invoices area
Bulk Payments
27th August, 2007You can now have multiple invoices/receipts paid by one payment. This will make bank reconciliation a lot easier for those of you that pay in multiple items on a single paying-in slip or if you pay for multiple purchases with a single cheque.
Simply click "Bulk Payments" at the top of the Sales or Purchases page to record a new transaction
Payment Info included in Sage Exports
21st August, 2007The Sage export files now include payment information. Due to restirctions in Sage we didn't previously include payment info as it's can't be automatically allocated to specific invoices.
However, some of our Partner accountants have said it'd still be useful to have the payments imported as "on account".
To access the Report just go to Reports -> General Reports -> Sage Export.
There is a check box next to the date selection to allow you to include payment info.
VAT Report Calculations as CSV
17th August, 2007You can now download all of the calculations involved in your VAT report to one single CSV file. The link for this is at the bottom of the VAT report page.
PayPal "Pay Now" buttons on invoices
11th August, 2007You can now include a "Pay Now" button on your invoices that link through to a Paypal payment page. You can also include the link in the email message that's sent with invoices.

Company Name Always On Screen
11th August, 2007To aid the increasing number of people that have multiple KashFlow accounts, your company name is now shown at the top of all pages.
Showing Purchase Order on 'Invoices' Page
11th August, 2007You can now select to include the Purchase Order field in the list of invoices under the 'Invoices' tab.
This feature is enabled or disabled from Settings -> Invoice Options -> Display options.
Default VAT Rate for Outgoing Types
8th August, 2007You can now set a default VAT rate for outgoing types. Just click Purchases -> Outgoing Types and select one to edit. The VAT level selection only appears if you are VAT registered.
For instance you can set Electricity to 5%. Then whenever you select "Electricity" as the outgoing type then the VAT rate will automatically be set to 5%.
Don't forget that you can also set the default Outgoing Type for your suppliers. So if you set the default outgoing type for supplier "Powergen" to be "Electricity" then whenever you select Powergen as the supplier for a new receipt then the outging type will be automatically set to "Electricity" and the VAT rate to 5%.
Product/Service Sales By Month as CSV
8th August, 2007The "Product/Service Sales By Month" report now allows you to download the data to a CSV file.
Report for Units sold per month
8th August, 2007A user requested a report to show the number of units of a particular product sold per month. We already had a report for the amount of income generated by specific products on a month-by-month bases so we just updated this report.
In the "Income Related Reports" section of the Reports tab is a report called "Product/Service Sales By Month". There is an option at the top-right of this report to set it to show units sold instead of money made.
Excluding Paid items from Statements
7th August, 2007Some users have commented that the customer and supplier statements are a little confusing and crowded when there are a large number of paid items listed.
We have now added a checkbox to the customer and supplier statement pages to allow you to exclude paid invoices/receipts from the statement.
Display VAT on a per-line basis
3rd August, 2007You can now select to have the VAT amount for each line displayed on the invoice (as opposed to just the total). This will be the default option for new users.
The option is set in Settings -> Invoice Options -> Tax Options
Copying Quotes, Invoices and Repeat Invoices
30th July, 2007There is now a copy button at the bottom of each invoice, quote and repeating invoice. This allows you to make an exact copy of the invoice (or quote) which you can then edit
This comes in useful if you need to quote multiple customers for the same thing. It also makes it very easy to set up a Repeat Invoice based on an existing invoice.
This feature was added at the request of a number of users.
Partner Programme Client Page Updated
19th July, 2007The 'Client' page on the Partner Programme has been updated to give Partners quick access to the newly added Nominal Ledger and Balance Sheet as well as the Aged Debtors and Creditors.
Balance Sheet
19th July, 2007A Balance Sheet has now been added. Again, this is mainly of interest to the accountant-types. The addition of this report should now mean we have all the reports commonly requested by accountants.
Nominal Ledger
19th July, 2007A nominal ledger report has now been added. We don't expect it to be of much interest to many users, but it's been requested by a lot of the accountant-types.
Improved Customer Search
17th July, 2007The search function in the customer section has been upgraded to provide better results.
Creating a Customer directly from the "Create Invoice" page
17th July, 2007You can now create a new customer directly from the Create Invoice page. This saves you having to visit the Customers section.
A link now appears below the drop-down list of customers. Clicking this will pop open a window for you to create a customer. Once the customer is created it is automatically selected in the drop-down list.
Overriding VAT amount on Invoices
14th July, 2007You can now override the automatic calculations of VAT on invoices and estimates.
Remove Bank Accounts from Overview Page
10th July, 2007In some instance you may not want all of your bank accounts to be included in calculations made on the Overview page.
Now, when you create a bank account or edit its details you can tick a box to indicate that you would like it included or untick it to exclude it.
By default all existing accounts and new accounts are shown on the overview page.
Custom Email Message and Subject Line
4th July, 2007Up until now, if you had an invoice set up to be automatically created and to be automatically emailed to your client, the subject line and message would have been the same as whatever your default subject line and message is.
You can now define your own custom subject line and message for each Repeat Invoice.
Go to Sales and click the "Repeat Billing" button to set up new repeat invoices and to edit existing ones.
Weekly Repeating Invoices, Purchase and Transactions
4th July, 2007You can now set-up invoices, purchase and bank transactions to be automatically created on a weekly basis as well as on monthly and annual basis.
Supplier Statement Updated
3rd July, 2007The Supplier Statement now includes the Receipt Number and the Supplier Reference number next to details of payments made.
Default Product/Service for a Customer
30th June, 2007On the Customer page you can now select a default product/service for that customer. The list from which to select the product/service is in the "Invoices, Quotes and Statistics" section of the customer page.
When you add an item to an invoice for that customer it will default to the product or service you have selected instead of "Other".
This has been added at the request of existing customers and it should make the process of creating an invoice even quicker and easier than it already was.

Default VAT rate for products/services
29th June, 2007A number of our VAT registered customers sell products at various VAT rates. It was a nuisance to have to keep manually changing the VAT amount from 17.5% (the default) to the appropriate rate.
To solve this problem we have introduced a new feature. On the page where you edit product/service details (Sales->Products/Services and then click edit next to a product) there is now a drop-down list so you can set the default VAT rate.
Now, when you add that item to an invoice, the VAT rate will be set for you automatically.
This has no impact on users that are not VAT registered. They will not see the new drop-down list.
Overview Page now includes all Bank Accounts
29th June, 2007The overview page only showed the balance on your main bank account. This has now been updated to include all bank accounts.
Automatically Display Line Total and VAT Amount
29th June, 2007When you are adding an item to an invoice, the total value of the line is calcualted for you and shown on the page before you add the line to the invoice.
If you are VAT registered then the VAT amount is also shown in a text box. This has been added in anticipation of a forthcoming upgrade that will allow you to override the automatically calculated VAT amount.
Using a Separate Delivery Address
28th June, 2007Some customers need to record a second address against a customer to use as a delivery address.
This has now been added. To make use of this option you need to have Packing Slips turned on (see Settings->Invoice Options->Packing Slips).
On the Edit Customer page, you will see a checkbox below the address fields. Ticking this displays boxes for an additional address. If the box has been ticked then Packing Slips for this customer will display the delivery address in place of the usual (billing) address.
We haven't yet updated the API to take advantage of this.
Sales and Purchase Payments on Bank statement
21st June, 2007Previously, clicking "View/Add Transactions" for a bank account would only show transactions you had manually entered for the bank account.
To see automatic entries made for Invoice payments received and Purchase payments made you had to choose reconcile.
Quite a few people have commented that they expected to see all transactions on the "View/Add Transactions" page. So we have now updated it to show them all.
"Overdue" and "Paid" Stamps on invoices
15th June, 2007A number of users have requested a way to make it clear on an invoice that the invoice has been paid. We've now added the option to include a "Paid" stamp on your invoices if they are indeed paid. Whilst we were at it we added an "Overdue" stamp too.
To enable or disable this feature simply go to Settings -> Invoice Options -> Display Options.
Suppliers Reference
11th June, 2007When you record a purchase you are given the opportunity to record a suppliers reference number (usualy their invoice number).
This reference is now shown on the main 'Purchases' page as well as in the list if purchases shown on the page for any given supplier.
this has been added to make it easier to find specific purchases.
Additional Checking when Adding/Editing a Purchase
9th June, 2007The system was allowing people to enter a purchase and enter a VAT amount that was higher than the Gross Total of the purchase. The system now checks for this mistake and prompts the user to correct it.
Login Page Branded for Partners
9th June, 2007When Partners use the code to let their clients log in from their own sites, the memorable word page wasn't fully showing the Partners branding. This has now been fixed.
Bank Comments on Trial Balance Breakdown
4th June, 2007The Trial Balance breakdown now shows any comments you entered in the bank section for the transactions being shown. This was added at the request of a Partner.
Wholesale Pricing.
4th June, 2007A number of our customers have said that they would benefit from having the ability to record two prices against a product – a wholesale price and a retail price.
We’ve now added this functionality. First go to Settings->Stock Options to enable wholesale pricing.
For each of your products you will now have the option to enter a wholesale price. All you then need to do is tick the appropriate box in the Customers page to indicate that the customer receives wholesale pricing.
Now, whenever you add a product to an invoice or quote for a customer that is allowed wholesale pricing, the appropriate price will be entered for you.
EC Sales List
31st May, 2007We've now added an EC Sales List n the reports area to assist those that need to provide this report to HMRC.
Additional Attachments to Invoice Emails
15th May, 2007You can now attach additional files to the email that KashFlow sends when you choose to send an invoice by email.
Below the box where you enter your message, there is a link that says "Additional Attachments". Click this to get started,
There is no limit to how many attachments you can add.
Aged Debtors/Creditors
14th May, 2007Aged Debtors and Creditors reports are now available. They can be accessed in Reports->General Reports.
Journal Added
4th May, 2007Users that want to enter Journal entries can now do so.
This isn't of interest to most users that aren't from an accounting background so by default this is not enabled.
To enable the Journal simply go to Settings->Advanced Settings and tick the box to Enable Journal.
Note, Partners using our Partner Programme will be able to access and edit a Journal for each of their clients even if it's not enabled on the client account.
